Revenue Cycle Management is a critical aspect for Health Centers. Staff who play a role in the Revenue Cycle must be involved to put change in motion and enable a healthy revenue cycle. To do this, staff must understand the importance of each department’s role. For leadership, it is important to know how to hire and manage employees. Equally important is knowing what happens in each department that plays a role in the revenue cycle. What drives the data? Are staff properly trained? Do staff know the role they play in the Revenue Cycle? What day-to-day activities make up the data on the reports you run or receive? Areas discussed will include: Front Office, Provider Enrollment, Providers Locking Charts, Billing and working AR, Training and Communication, Setting Realistic productivity goals.
Participants will gain a deep understanding of Revenue Cycle Management processes tailored specifically to RHCs and FQHCs.

What is Covered?
Front Office – how the data gathered impacts revenue, billing, UDS
Provider Enrollment – getting plans in network with health plans is a lengthy and time consuming process. Until providers are in network, how is scheduling handled?
Providers locking charts – this seems to be a problem throughout health centers. Upper-level management are not holding providers to what the contract states is required on closing and locking charts. They cannot be billed until this is done and much money is left on the table.
Billing and working AR – is someone tracking productivity on billing claims and tracking after billing? Do you have an accurate picture of your AR? Are staff wasting time trying to collect uncollectible balances?
Training – do you truly understand the training/re-training needs of all staff? Do you have processes in place to follow up with employees to ensure they have been properly trained? Is someone checking for error rates on new hires to see where retraining might be needed?
Realistic productivity goals – everyone in the health centers wears multiple hats doing multiple jobs. When there is turnover, leadership must be realistic. As staff take on more work due to turnover and growth, the work they are already doing will fall behind.
Communication – there is a lack of communication throughout the health center departments, and even more so among C-Suites and staff in the weeds doing the work. Departments operate as if they are in separate bubbles and should be operating in one bubble, especially with communication. Good communication is crucial to revenue cycle integrity!
